Measuring Your Pipeline Without a Dedicated Sales Team
You don’t need a CRM to know whether your outreach is working — you need five numbers, tracked consistently, even in a spreadsheet. Here they are, in the order they happen.
1. Opportunities reviewed
How many records did you actually look at this week? This is your volume baseline. If this number is zero, nothing downstream matters — the first failure mode for a one-person sales process is simply not looking at the queue.
2. Opportunities acted on
Of what you reviewed, how many did you actually do something with — a message, a call, a note to follow up later? The gap between “reviewed” and “acted on” tells you whether your qualifying bar is too loose (acting on almost everything) or too tight (barely acting on anything).
3. Response rate
Of what you sent, how many got any reply at all — yes, no, or a question back? This is the fastest signal that your message itself needs work, independent of whether the account was a good fit.
4. Meetings or walkthroughs booked
Of the responses, how many turned into an actual conversation? If replies are healthy but this number is low, the gap is usually in how you’re asking for the next step, not in the outreach itself.
5. Average days from first contact to decision
Track how long deals actually take, even roughly. Owners consistently underestimate this number, which leads to writing off opportunities that were simply still in progress.
A minimal way to track this
A spreadsheet with one row per opportunity and five columns — reviewed date, acted-on date, response (yes/no), meeting (yes/no), decision date — is enough to compute every number above. Sophistication can come later; consistency is what actually matters at this stage.
